This privacy policy is to inform you about the information that you give us when using OKIDO magazine, the OKIDO website, and both the OKIDO tablet and phone apps. All of these are owned and published by Doodle Productions Limited (“Doodle”).

This privacy policy also explains how we use the information collected about you, how you can instruct us if you prefer to limit the use of that information and procedures that we have in place to safeguard your privacy.

By submitting your information (or that of the recipient for whom you are purchasing services), you are consenting to the use of that information as set out in this policy and, where relevant, are confirming to us that you are authorised to provide such consent. Doodle reserves the right to change this policy by updating this page. If we change our privacy policy we will post the changes on this page and may place notices on other pages of the website so that you may be aware of the information we collect and how we use it at all times.

THE INFORMATION WE COLLECT AND HOW WE USE IT
REGISTRATION DETAILS

At no point will you be asked to register personal details with OKIDO other than at the purchase point in the online store.

EMAIL ADDRESSES

Other than during the payment process within the OKIDO online store, we never insist on you giving us an email address. If you offer us your email address to receive newsletters or other services we will store and use this information accordingly:

  • To send you newsletters.
  • To occasionally send promotional emails about products, special offers or other information which we think you may find interesting, and you can opt-out at any time.
  • Internal record keeping.
  • o respond to your emails, submissions, questions, comments, requests, and complaints and provide customer service.
  • To provide our services or information you request, and to process and complete any transactions.
  • To send you confirmations, updates, security alerts, and support and administrative messages and otherwise facilitate your use of, and our administration and operation of, our services.
NAME AND POSTAL ADDRESS

We never ask for a recipient’s name or postal address other than at the purchase point in the online store. The purpose of this is to send the products you have ordered and to provide our services or information you request and to process and complete any transactions.

We will not provide personal details to third-parties other than in relation to processing your order. An exception to this rule is that of competitions and prizes. Should you be lucky enough to win something from a third-party through a competition on our website, in our magazine or across our social media platforms then we will inform them of the [name] and address for prizes to be sent out to.

THIRD-PARTIES

Please note that to complete your order we will process the data provided in conjunction with the following 3rd parties where appropriate: Inter-city, GoCardless, Stripe, PayPal, Apple Pay, Google Pay, Hubspot, Facebook, Woocommerce, Shopify, Chargebee, Imoore and Wonderbox. These service providers and product suppliers are working with us in connection with the operation of our site or our services and they have access to personal information provided by you only in relation to the delivery of services and goods to you on our behalf and are obligated not to disclose it or use it for any other purposes.

THE OKIDO APP

The OKIDO app does not collect any personally identifiable information from you or your child.

LAWFUL BASIS FOR PROCESSING DATA

We will only ever contact you if you have offered us your email address. As long as you have taken active steps to engage with our business then we continue to process your data for legitimate interests. This means that only individuals who have actively consented, or are engaged with our process will receive OKIDO updates.

In addition, we may process your information in the following ways and circumstances:
  • We may share aggregated information and non-identifiable information with third-parties for industry analysis, demographic profiling and other similar purposes.
  • When you give us your consent to do so, including if we notify you that the information you provide will be shared in a particular manner and you provide such information.

We will not sell or lease or otherwise make available your personal information to any other third-parties unless we have your permission or are required by law to do so.

YOUR DATA RIGHTS AS OUR CUSTOMERS

As our customers you have the following data rights with respect to your personal data: The right to be informed; the right of access; the right to rectification; the right to erasure; the right to restrict processing; the right to data portability; the right to object; and the right not to be subject to automated decision-making including profiling. RETENTION AND DELETION OF DATA

Our Data retention periods are as follows: we will delete your personal data two and a half years after you are no longer active, by no longer active we mean, you have either not renewed your subscription or you have not interacted with any of our newsletters, or you have not bought any products or services.

The purpose of us having your data on our system is to ensure that we are keeping you up to data with the information you have requested and a product you are interested in. These data retention periods exist to ensure we are only sending information to people who want to hear from us. This is in line with the ICO’s guidelines that ‘Personal data processed for any purpose or purposes shall not be kept for longer than is necessary for that purpose or those purposes.’ You will be informed of our intention to delete you from the database 1 month prior to deletion with the option to re-sign in.

We will only ever contact you if you have offered us your email address. If you have signed up for our newsletter, you will receive that. If you have not but are a subscriber, we will only ever contact you for essential transactional services.

ATTENDING AN OKIDO EVENT

Filming and photography may take place at events run by OKIDO. Visitors will be notified of this via invites and through the use of posters and verbal instructions at the event. If you don’t wish to be featured you should inform the photographer or a member of staff as soon as possible. Images/video content may be used on our website or social media platforms, in hard copy publications, press activity or for other marketing purposes. By attending an event and not informing us otherwise, you consent to being featured in this photography/filming. You have a right to withdraw your consent at any time and we will take reasonable efforts to follow your wishes.

Visitors will be asked to provide verbal consent or to sign a consent form if they feature prominently in any recording made.

Identifiable images of children will never be captured for marketing purposes without the written consent of a parent or guardian.
